Carrier selection and tendering

The carrier for a planned shipment is selected in one of two ways:

  1. Rule-based ranking — the Taşıyıcı Seç (Select Carrier) window in the shipment details ranks the active carriers by their freight agreements; Ata (Assign) writes the carrier to the shipment.
  2. Tender — bids are requested from carriers, the responses are entered, and Karar Ver (Decide) assigns the shipment to the winner. The document number is IHL-yyyy-nnnnnn.

Select Carrier window (shipment details)​

It appears only on a shipment in Planlandı (Planned) status. The amount is calculated from the freight agreement valid on the shipment's departure date, using the shipment's measurements; it is a suggestion, and the user makes the assignment.

  • Sıralama (Ranking): Maliyet (Cost) or Öncelik (Priority) (the priority on the carrier card; 1 is the highest priority).
  • Columns: İhaleye davet (Invite to tender) (check box), Sıra (Rank), Taşıyıcı (Carrier) (the contact's e-mail), Öncelik (Priority), Anlaşma (Agreement), Navlun (Freight), Not (Note) (e.g. "Eksik ölçü: …" (Missing measurement: …)) and Ata (Assign).
  • Ata (Assign) writes the carrier to the shipment, and the shipment's freight is calculated (shown on the Navlun (Freight) card). The carrier's vehicle and driver are then selected with Düzenle (Edit).
  • İhaleye Çıkar (N) (Put Out to Tender (N)) opens the tender window with the selected carriers (up to 20).
  • If there is no active carrier, "Etkin taşıyıcı yok — Ana Veriler › Taşıyıcılar'da tanımlayın." (There is no active carrier — define one in Master Data › Carriers.) is displayed.

Columns: İhale No (Tender No.), Sefer (Shipment), Cevap Son Tarihi (Response Deadline), Durum (Status), Teklif / Davet (Bids / Invitations), Kazanan (Winner). Filters: Ara (Search), Durum (Status). İhale Oluştur (Create Tender) opens an empty tender window.

Tender statusMeaning
Açık (Open)Bids are being collected. If the response deadline has passed, Son tarih geçti (Deadline passed) appears next to it.
Karar Verildi (Decided)The winner has been selected; the shipment has been assigned to the winner.
İptal (Cancelled)The tender is closed; the shipment remains as it was. If the shipment is cancelled, its open tender is also cancelled.
Invitee statusMeaning
Davet Edildi (Invited)A response is expected.
Teklif Verdi (Bid Submitted)An amount has been entered; a decision can be made.
Reddetti (Declined)The carrier did not submit a bid.
Kazandı (Won) · Kaybetti (Lost)After the decision.

  • Sefer (Shipment) (required) — planned shipments only.
  • Cevap Son Tarihi (Response Deadline) (required) — must be in the future; the default is tomorrow at 17:00.
  • Not (Note) — a note sent to the carrier (loading time, special terms); up to 500 characters.
  • Davetliler (Invitees) (required) — added with Taşıyıcı ekle (Add carrier); an optional e-mail for each invitee.
  • E-posta (E-mail) — if enabled, invitees with an e-mail address receive the shipment plan, cargo and destinations (no prices are included). Sending is done from a queue; SMTP must be configured. If no invitee has an e-mail address, the tender is opened without e-mail, and bids are taken by phone and entered.
  • İhaleyi Aç (Open Tender) creates the tender and opens its details.

At the top: Durum (Status), Sefer (Shipment), Cevap Son Tarihi (Response Deadline), Açan (Opened By), Not (Note), Kapanış (Closing), İptal Nedeni (Cancellation Reason). The Davetliler (Invitees) table: Taşıyıcı (Carrier) (priority), Durum (Status), Teklif (Bid), Tarife (Tariff) (the agreement's amount for the same shipment — for comparison), E-posta (E-mail) (Gönderildi (Sent) · Kuyrukta (Queued) · Gönderilemedi (Could not be sent) · Gönderilmedi (Not sent) · —), Cevap (Response) (time and note), Eylemler (Actions).

  • Cevap Gir (Enter Response) — enters the carrier's bid (Teklif (Bid) amount and currency) or declination (Reddetti (Declined)); the decision is made separately.
  • Karar Ver (Decide) — only for a carrier that has submitted a bid: "İhale kapanır, öteki bekleyen teklifler kaybeder." (The tender is closed; the other pending bids lose.) The shipment proceeds with the winning carrier, and its freight becomes the tender price; the shipment's own fleet resources are removed from the plan. If the freight is recalculated from the agreement, it replaces the tender price. If the shipment is no longer planned, "Sefer artık planlı değil — karar verilemez." (The shipment is no longer planned — no decision can be made.) is displayed.
  • İptal Et (Cancel) (İptal Nedeni (Cancellation Reason) required) — "İhale kapanır; sefer olduğu gibi kalır ve yeni ihale açılabilir." (The tender is closed; the shipment remains as it is, and a new tender can be opened.)
