Data Import

Data Import is the single framework for importing and exporting master data with Excel workbooks, both when migrating from previous software and for bulk maintenance. From the item master to the price list, from the work center to the opening stock, every object works with the same three steps: download the template or the existing records → Kontrol Et (Validate) → Aktar (Import).

The Yönetim › Araçlar › Veri Aktarımı (Administration › Tools › Data Import) screen lists all objects the user can see in load order. For an end-to-end setup: Setup with data import.

Data Import — objects in load order
  1. 1Load order
  2. 2Click an object to open its import screen
  3. 3Import/export or export only
ColumnMeaning
Sıra (Order)Load order. Each object depends on the ones before it (the BOM waits for the item, the opening stock waits for the warehouse).
Nesne (Object)The object's name, with the workbook's sheets below it. Click to open the object's import screen.
Alan (Area)The application area the object belongs to (Yönetim (Administration), Ana Veriler (Master Data), Stok Yönetimi (Inventory Management), Üretim (Production), Satın Alma (Purchasing), Satış (Sales), Finans (Finance)).
Açıklama (Description)What the object carries and what must be loaded before it.
Yetki (Permission)İçe / dışa aktarır (Imports / exports) — you have import permission. Yalnız dışa aktarır (Exports only) — you can see the object, download and validate the workbook, but cannot import.

If you do not have permission to see any object, the table reads "Aktarabileceğiniz bir nesne yok — yetki için yöneticinize başvurun." (There is no object you can import — contact your administrator for permission.)

The Sıra (Order) column is the system's own sequence number; objects with the same number do not depend on each other. The last three rows are listed on the central screen but work on their own Finance screens (the open items of customers and vendors on the transition date, and a draft opening journal entry from the previous software's closing trial balance); they are not described in this section.

Workbook rules

All imports are read with the same rules:

  • The file is an Excel Workbook (.xlsx). CSV is not accepted. Each object has its own workbook; the workbook contains one sub-object per sheet (e.g. Warehouses and Storage Locations). Sheet names and column headers must be the same as in the template; the order of the columns does not matter.
  • All cells are text. The template and the Dışa Aktar (Export) file write cells as text: leading zeros, long codes, VKN/TCKN (tax ID / national ID), phone numbers and postal codes are preserved. When filling in by hand, keep these columns in Text format in Excel.
  • Records are linked by code. A sheet refers to another record not by its ID but by its code (DepoKodu, UrunKodu, CariKod). The code must either have been created on an earlier sheet of the same workbook or exist in the system.
  • If the code exists it is updated; otherwise it is created. The matching column (e.g. Kod, DepoKodu + Kod) is stated in each sheet's Alan Kılavuzu (Field Guide). Codes are converted to uppercase; the letter i is written as I in codes.
  • A column that is not in the file does not change in the record. Bulk corrections can be made with a workbook that contains only the columns you want to change. A record that is not in the file is not deleted either — the import does not delete records.
  • The same name is not created twice. Differences in case, spaces and punctuation count as the same name.
  • Evet / Hayır (Yes / No), Aktif / Pasif (Active / Inactive) columns accept no other spelling; in a column with a list of allowed values, the value is written exactly as in the list (the Örnek / Değerler (Example / Values) column of the Field Guide).
  • Exception — Opening Stock: it is a document, not an update; the same reference is not written twice. Details: Opening Stock.

Import screen

The screen of every object opened from the central screen has three tabs: İçe Aktar (Import), Dışa Aktar (Export), Alan Kılavuzu (Field Guide). (Item Import has a fourth tab, Aktarım Geçmişi (Import History); Business Partner Import has its own single-page layout.)

Import screen — file, validate, import
  1. 1Three tabs
  2. 21 · File (.xlsx)
  3. 32 · Validate — changes nothing
  4. 43 · Import — only after a clean validation
  5. 5Result counters
StepButtonWhat it does
1 · FileDosya Seç (Choose File)Selects an .xlsx workbook from your computer. The last job's workbook is kept on the server: if you leave the screen and come back, it reads "Kitap sunucuda — yeniden seçmeniz gerekmez." (The workbook is on the server — you do not need to select it again.)
2 · ValidationKontrol Et (Validate)Validates the workbook row by row and states what will happen for each row. It does not change any record.
3 · ImportAktar (Import)Enabled only after an error-free validation, and writes the workbook. If there are invalid rows, Hatalıları Atlayarak Aktar (Import Skipping Invalid Rows) appears in place of the button.

Validation and import run on the server as a job: the progress bar shows the stage (sheet name), the number of rows and the percentage; you can stop the job with İptal Et (Cancel). "Ekrandan ayrılabilirsiniz — iş sunucuda sürer; bitince bildirim gelir ve bağlantısı sonucu bu ekranda açar." (You can leave the screen — the job continues on the server; when it finishes, a notification arrives and its link opens the result on this screen.) If other jobs are queued, it reads "Önünüzde N iş var" (There are N jobs ahead of you). The import is all-or-nothing: cancellation or an error writes no records ("Aktarım durdu — hiçbir kayıt yazılmadı." — The import stopped — no records were written.).

Validation result

Counter (in validation → in import)Meaning
Açılacak (To be created) → Açıldı (Created)The code does not exist in the system; a new record is created.
Güncellenecek (To be updated) → Güncellendi (Updated)The code exists and at least one cell differs from the record. The cell appears yellow in the result table.
Değişmiyor (Unchanged) → Değişmedi (Not changed)The code exists, and all values in the file are the same as the record.
Hatalı (Invalid) → Atlandı (Skipped)The row does not comply with a rule; the Açıklama (Description) column states the reason. An invalid row writes nothing.

Below the counters there is a per-sheet summary (e.g. "Lokasyonlar 13 satır · açılacak 0 · güncellenecek 1 · 2 hatalı" — Lokasyonlar 13 rows · to be created 0 · to be updated 1 · 2 invalid), and below that the result table: Sayfa (Sheet), Satır (Row; Excel row number), Kod (Code), Sonuç (Result), Açıklama (Description). The table is filtered with the Sonuç (Result) filter (default Hatalı (Invalid) if there are invalid rows) and the Ara (Search) box.

Validation result — failed rows and messages
  1. 1Failed row count
  2. 2Import skipping failed rows
  3. 3Create · Update · Unchanged · Failed
  4. 4Error message — with row and code

When there are invalid rows, there are two ways forward: correct the file and Kontrol Et (Validate) again, or write the rest with Hatalıları Atlayarak Aktar (Import Skipping Invalid Rows). The latter opens a confirmation dialog ("Hatalı satırlar atlanarak aktarılsın mı?" — Import while skipping invalid rows?); the skipped rows can be corrected in the file and imported again later — the record with the same code is updated, not created a second time. If all rows are invalid, this option is disabled as well.

Export

Export tab — current records and blank template
  1. 1Current records — same book as the template
  2. 2Blank template — with sample rows
  • Mevcut kayıtlar › Dışa Aktar (Existing records › Export): the records are downloaded as the same workbook as the template — you can correct them and load them back directly; an untouched row changes no record (Değişmiyor — Unchanged).
  • Boş şablon › Şablonu İndir (Empty template › Download Template): all sheets with sample rows. Delete the samples and enter your own records.

Field Guide

For each sheet: its description, the matching column and the column table (Sütun (Column), Açıklama (Description), Örnek / Değerler (Example / Values); required columns marked with *). The column tables of the object pages in this section are taken from the same source.

Field Guide — sheet, match key, columns
  1. 1Match column
  2. 2Column — * required
  3. 3Example or allowed values

Permissions

TaskRequired
See the central screenPermission to view one of the objects (e.g. erp-inventory-warehouses.view, users.import).
See the object, download the template, ValidateThe object's view permission.
ImportThe object's import permission and the permissions to create/edit the record (e.g. erp-inventory-warehouses.import + .create + .edit).

A user without import permission sees "Aktarma yetkiniz yok — kontrol edip dosyayı yetkili kişiye iletebilirsiniz." (You do not have import permission — you can validate and forward the file to an authorized person.) on the screen. The full permission list of each object is in the header of its own page.

Notifications

When a background job starts and finishes, a notification lands in the bell: Veri aktarımı başladı (Data import started), Veri aktarımı kontrolü tamamlandı (Data import validation completed), Veri aktarımı tamamlandı (Data import completed), Veri aktarımı hata verdi (Data import failed). Clicking the notification opens the result on the import screen. You can change the channel in Profil › Bildirim Tercihleri (Profile › Notification Preferences): Notifications.
