Transportation documents (shipments)

A transportation document is the trip of one vehicle (a shipment). The executor is either Kendi filomuz (Our own fleet) (our vehicle and our driver) or a Taşıyıcı (Carrier) (a transportation company and its vehicle/driver). Deliveries are added to the shipment; their sequence is the stop sequence. The document number is TSM-yyyy-nnnnnn.

The server calculates delays with its own clock; in the header of a delayed shipment, Gecikmede (Delayed) appears next to the status. Actions also depend on authorization (the permissions in the summary).

Columns: Taşıma No (Transportation No.), Durum (Status), Planlanan Çıkış (Planned Departure), Yürütücü (Executor) (executor type with carrier · plate · driver), Belge (Documents) (number of deliveries). Filters: Ara (Search) and Durum (Status). The row's İşlemler (Actions) menu contains Seferi Aç (Open Shipment) and the document history. The Taşıma Belgesi Oluştur (Create Transportation Document) link opens the new shipment form.

For our own fleet, the following note appears at the bottom of the form: "Yola çıkış için araç ve sürücü gerekir; planlarken boş bırakılabilir. Taşıyıcının aracı burada listelenmez." (A vehicle and a driver are required for dispatch; they can be left empty when planning. The carrier's vehicles are not listed here.) A shipment can also be planned without deliveries; dispatch requires at least one delivery. The record is saved with Oluştur (Create) (Kaydet (Save) when editing), and the shipment details open.

The Teslimat Ekle (Add Delivery) window lists "Sefere atanmamış, iptal edilmemiş teslimatlar — açık ya da mal çıkışı kaydedilmiş" (Deliveries not assigned to a shipment and not cancelled — open or with goods issue posted) (columns: Teslimat (Delivery), Tarih (Date), Müşteri / Varış (Customer / Destination), Depo (Warehouse), Durum (Status)). A delivery can be on only one shipment at a time.

  • Sefer Bilgileri (Shipment Information): Executor, Carrier (with tax ID), Vehicle / Trailer, Driver, Planned Departure and Arrival, the actual Yola Çıkış (Departure) and Varış (Arrival), Planned Distance, note and cancellation reason. If the shipment has an open tender, its number and the number of bids appear here as a link.
  • Yük ve Kapasite (Load and Capacity): Gross Weight, Volume, Pallets — the capacity is that of the trailer, or of the vehicle if there is no trailer. The weight comes from the card dimensions and the tare of the handling units. If the capacity is exceeded, a warning is displayed ("Ağırlık kapasiteyi aşıyor." (Weight exceeds capacity.), "Hacim kapasiteyi aşıyor." (Volume exceeds capacity.), "Palet sayısı kapasiteyi aşıyor." (Number of pallets exceeds capacity.)); exceeding the capacity does not block saving.

Shipment in transit and events​

An event cannot be changed; an incorrect record is corrected with a new event. Event types: Yüklendi (Loaded), Yola çıktı (Departed), Vardı (Arrived), Teslim edildi (Delivered), Gecikme bildirildi (Delay reported), Sorun bildirildi (Issue reported), Sefer tamamlandı (Shipment completed). Yola çıktı (Departed) and Sefer tamamlandı (Shipment completed) are written by the shipment's own steps (Yola Çıkar (Dispatch), Tamamla (Complete)). Details: Record a shipment event.

The freight card is calculated only on a shipment with the Taşıyıcı (Carrier) executor, with a carrier selected and not cancelled. The calculation uses the carrier's agreement valid on the shipment's departure date and the shipment's measurements (distance, weight, volume, pallets, stops). Lines: Dayanak (Basis), Miktar (Quantity), Birim Ücret (Unit Rate), Tutar (Amount) and Toplam (Total); if the minimum charge was applied, "En az ücret uygulandı" (Minimum charge applied) is displayed.

  • The Navlunu Hesapla (Calculate Freight) / Yeniden Hesapla (Recalculate) button appears with the edit permission.
  • A basis whose measurement is unknown is not included in the calculation; the card says "Ölçüsü bilinmeyen dayanak hesaba girmez: …" (A basis with an unknown measurement is not included in the calculation: …) — enter the distance on the shipment, and the weight and volume on the product card.
  • If the shipment or the agreement changes after the calculation, the server returns "Sefer ya da anlaşma hesaptan sonra değişti — navlunu yeniden hesaplayın." (The shipment or agreement changed after the calculation — recalculate the freight.)
  • Once the freight is included in a settlement, the card shows "Hesaplaşıldı: NHS-… — navlun yeniden hesaplanmaz." (Settled: NHS-… — the freight is not recalculated.)
  • On a shipment executed by our own fleet, the card says "Kendi filomuzla yapılan seferin taşıyıcı navlunu yok — maliyeti Filo İşletimi'nde." (A shipment executed by our own fleet has no carrier freight — its cost is in Fleet Operations.)

Freight is not an accounting entry; a completed shipment is matched with the carrier's invoice on the Freight settlements screen.
