Sales orders

Orders received from customers. A sales order is entered as a draft or converted from a quotation; once approved, it enters planning as demand and is released for delivery.

Creating a sales order

Create Sales Order — completed form
  1. 1Document type — standard, rush, sample…
  2. 2Customer
  3. 3Requested delivery — drives delivery planning
  4. 4Product
  5. 5Quantity
  6. 6Create Order — saves as draft

The sales order form has the same layout as the quotation form:

  • Header strip: Müşteri (Customer; required, active customers only), Sipariş Tarihi (Order Date; required), document type (if there is more than one type).
  • Teslimat ve Ödeme (Delivery and Payment): requested delivery date (cannot be earlier than the order date), currency (required), payment term, payment condition, shipping method and its note, shipping type. The payment term and shipping method are proposed from the customer master record.
  • Koşullar (Conditions): overall discount percentage (distributed proportionally to the lines; VAT is calculated on the discounted amount) and surcharges.
  • Metinler (Texts): note (up to 1024 characters).
  • Adres (Address): goods recipient, contact person, registered ship-to address, recipient, delivery address and phone number. If all three are left empty, the name, address and phone number from the customer master record are copied to the document.
  • Organizasyon (Organization): sales channel, sales organization, division, sales representative.

Kalemler (Items): product, quantity, unit, unit price, discount (percentage or amount), VAT and estimated amount. In the line details, a description and the item category (Standart — Standard · Bedelsiz — Free of Charge · Hizmet — Service · Üçüncü Taraf — Third Party) are selected. The unit price is proposed from the price list (how it is determined).

After saving, the sales order is in Taslak (Draft) status. A sales order converted from a quotation is also opened as a draft.

Availability check

The Kullanılabilirlik (Availability) button on an item line opens a dialog showing:

  • the quantity that can be promised on the requested date and the earliest date for the full quantity,
  • the date that can be reached with new supply (open purchasing and production),
  • a delivery proposal (date / quantity) and a daily stock chart.

The dialog does not reserve stock; the line counts as demand once the sales order is approved. The button is displayed for users who have permission to view material requirements (erp-demand-material-requirements.view).

Sales order details

Approved order — delivery and production
  1. 1Create Delivery — with goods issue
  2. 2Open Production Order — make to order
  3. 3Shipped and remaining quantity
  4. 4Linked documents — quotation, delivery, production order

Statuses

A sales order has three statuses: Taslak (Draft), Onaylandı (Approved) and İptal (Cancelled). In addition:

  • Kapalı (Closed) — shown on the badge if the sales order has been closed (the remaining quantity was abandoned).
  • Shipping status — Sevk edilmedi (Not shipped) · Kısmen sevk edildi (Partially shipped) · Tamamı sevk edildi (Fully shipped), and "x/y kalem" (x/y lines).

Approved, line with a remaining quantitySatırı Kapat (Close Line) on the line
Any statusKopyala (Copy) · Çıktı (Output: Yazdır — Print · PDF · E-posta — E-mail)
  • Siparişi Onayla (Approve Order): the lines of an approved sales order can no longer be edited.
  • Siparişi İptal Et (Cancel Order): a reason is required and the action cannot be undone. A sales order with a shipped quantity cannot be cancelled — to abandon the remaining quantity, close the sales order.
  • Siparişi Kapat (Close Order): a reason is required. No new delivery can be created for a closed sales order; closing is not a correction.
  • Üretim Emri Aç (Open Production Order): opens a production order linked to the sales order (for make-to-order products).
  • No lifecycle actions are displayed on a closed sales order.

Confirmation and backorder

On an approved sales order, confirmation information is shown below each line:

  • Teyitli N birim (Confirmed N units) — the quantity covered by stock or planned supply,
  • Backorder N birim (Backorder N units; in red) — the quantity that cannot be confirmed yet,
  • Tamamı <tarih> (All by <date>) — the day on which the full line quantity can be delivered.

Kullanılabilirliği Yeniden Kontrol Et (Recheck Availability) recalculates the confirmation of an approved sales order based on current stock and supply.

Credit block

If the customer's credit limit is exceeded, the sales order shows the Kredi blokesi — teslimat açılmaz (Credit block — no delivery can be created) bar. The credit manager releases the block with Krediyi Serbest Bırak (Release Credit); a sales representative cannot release the block on their own sales order.

Backorder Processing

Backorder Processing — unconfirmed quantities
  1. 1Backorder — unconfirmed remainder
  2. 2Select the product to reconfirm
  3. 3Create Proposal — shows the allocation, does not save
  4. 4Apply — saves the confirmations

Used to reconfirm, collectively, open sales order lines that have an unconfirmed remaining quantity (e.g. after stock has been received). The priority order is first the requested delivery date, then the order date.

  1. Select the lines to be reconfirmed from the list (up to 50; the selection is kept even when the page changes).
  2. Öneri Oluştur (Create Proposal) — shows the before / after state of the confirmed quantity and the completion date; nothing is saved yet.
  3. Uygula (Apply) — saves the proposal. If the selection changes, the proposal is discarded and must be created again.

View permission is sufficient to open the screen; edit permission is required to create and apply proposals.

Rules

  • Only a draft sales order can be edited.
  • A sales order must contain at least one line.
  • The amounts in the details are approximate; financial confirmation is on the invoice. The invoice is issued from the delivery, not from the sales order details (Billing).
