Administration

CoreX ERP is installed with 26 predefined roles. In most organizations, instead of designing a new role, it is enough to assign a predefined role or to Kopyala (Copy) it and narrow it down. This page lists the predefined roles and gives recipes for the eight most frequently requested roles, with their permission keys. Concepts: Permission model. All keys: Permission list.

Predefined roles

The figures are taken from the Roller (Roles) screen and the role template list of the demo installation (a catalog of 397 permissions). "Screen catalog" is the number of screens the role shows in the menu.

Every template other than Administrator carries the read baseline (93 view permissions); the recipes list only the permissions above the read baseline. The list of the read baseline: Permission list — the rows with "Read baseline" in the "Role templates" column.

Apply a recipe

The shortest path is the same for every recipe:

1. Yönetim › Kullanıcı ve Roller › Roller (Administration › Users and Roles › Roles) › Yeni Rol (New Role).
2. Enter the Rol adı (Role name) and select the template named in the recipe from the Rol şablonu (Role template) list. The template brings the read baseline, the recipe's write permissions and the screen catalog together.
3. If the recipe removes a permission from the template, remove it on the Yetkiler (Permissions) tab; if it adds one, check it.
4. Click Rolü Oluştur (Create Role). Detailed steps: Create a role.

You can also assign the predefined role itself (e.g. Satış Temsilcisi (Sales Representative)) without changing it; in that case the template's permissions remain locked and are preserved during release upgrades.

New role from a template

A role you create by selecting a template is not bound to the template: all of its permissions can be changed, and release upgrades do not touch it. You add a permission that is added to the template in a new release to this role yourself.

1. Sales representative

Template: Satış Temsilcisi (Sales Representative) (Sales · Staff). Writes quotations, orders, returns and reversals; does not approve, does not write price lists, does not issue goods.

The Demo — Satış Temsilcisi (Demo — Sales Representative) role in the demo installation was created from this template with erp-sales-orders.close removed (so that closing orders manually stays with the manager): 113 permissions. With this role, sales orders are created and edited, and commercial approval is given with Siparişi Onayla (Approve Order); Fiyat Listeleri (Price Lists) is read-only, and Satın Alma (Purchasing) does not appear in the menu.

2. Sales manager

Template: Satış Müdürü (Sales Manager) (Sales · Manager). Approves quotations and return requests, writes price lists and rebates; does not write documents.

For quotation approval to work, an approval template for quotations must also be defined in Onay Şablonları (Approval Templates), and this user must hold the role required by the stage. If the role is assigned to the same person as the sales representative role, a segregation of duties warning appears.

3. Purchasing specialist

4. Warehouse supervisor

• Posting count differences, adjustments, scrap and opening balances belong to the Stok Yöneticisi (Inventory Manager); assigning both roles to the same person triggers a segregation of duties warning.
• If the supervisor is responsible for only some of several warehouses, give the user Organizasyon Kısıtlaması › Depolar (Organizational Restriction › Warehouses): Assign an organizational restriction.
• For a person who only confirms tasks with a handheld terminal on the shop floor, the narrower template is Depo Elemanı (Warehouse Worker) (read baseline + erp-inventory-counts.edit, erp-inventory-warehouse-tasks.edit).

5. Production planner

If the operator will work only on their own line, narrow them to the work center with Organizasyon Kısıtlaması › İş Merkezleri (Organizational Restriction › Work Centers); at a restricted work center, confirmations, consumption and output are rejected with "… iş merkezinde işlem yetkiniz yok." (You are not authorized to perform transactions at work center ….). The operator does not see costs (no erp-inventory-costs.view).

7. Read-only auditor

Template: Denetçi (Salt Okunur) (Auditor (Read-Only)) (Administration). Reads all ERP lists and the audit trail; cannot write any document. Its screen catalog is Bütün ekranlar (All screens).

• audit.view opens İşlem Kayıtları (Audit Log) and Erişim Günlüğü (Access Log) and shows the document history in all areas.
• Sales and purchase prices and stock cost are not visible in this template (there are no price and cost permissions). If the auditor needs to see amounts, Kopyala (Copy) the template and add erp-sales-price-lists.view, erp-procurement-item-suppliers.view and erp-inventory-costs.view.
• If the auditor is also given a role that writes, a segregation of duties warning appears.

8. System administrator

Predefined role: Yönetici (Administrator) (Administration, Yerleşik (Built-in)). All 397 permissions, all screens. It cannot be deleted; the role cannot be removed from the last active account that holds the Administrator role ("… Yönetici rolünü taşıyan son etkin hesap. Rolü kaldırmadan önce başka bir kullanıcıya Yönetici rolü verin." — … is the last active account holding the Administrator role. Give another user the Administrator role before removing the role.).

For an account that will only manage users and permissions without writing operational documents, a role without a template can be created with the following permissions instead of Administrator:

• users.delete opens Devre Dışı Bırak (Disable) and Geri Yükle (Restore); users.edit opens role assignment, extra permissions, restrictions, password and lock; users.create opens Yeni Kullanıcı (New User) and Daveti Yeniden Gönder (Resend Invitation).
• organization.edit opens the Organizasyon Birimi (Organizational Unit) assignment in the user window.
• Changing Module Management additionally requires company-profile.edit, and email settings require email-settings.edit.
• users.import (exporting/importing the user file; the file contains password hashes) can be granted only by an administrator who holds this permission: "users.import iznini yalnız bu izni taşıyan bir yönetici verebilir." (The users.import permission can be granted only by an administrator who holds this permission.)

Permission to edit roles and users

A person who holds roles.edit or users.edit can change the permissions of roles and users — including adding permissions to their own role. The server applies the "only a holder can grant it" rule only to users.import. Grant these permissions only to people you trust as system administrators; changes are tracked in İşlem Kayıtları (Audit Log).
