Prerequisites
  • The delegate holds the approval permission for the delegated document types themselves.

A delegation does not grant permissions; it only extends the answer to "who can vote": the delegate must still hold the document type's approval permission, and a document the approver cannot approve (e.g. one the approver submitted themselves) cannot be approved by the delegate either.

Steps​

  1. Open the Yönetim › Onay Süreci › Onay Vekaletleri (Administration › Approval Process › Approval Delegations) screen and click Yeni Vekalet (New Delegation).

  2. If you are an administrator, select Kendim (Myself) in the Onaycı (Approver) field, or the approver for whom you are assigning a delegate (other users do not see this field).

  3. Select the Belge Türü (Document Type), or leave Bütün belge türleri (All document types).

  4. Select the Vekil (Delegate) — the list contains users with approval permission.

  5. Enter the start and end days in Tarih aralığı (Date range; both days inclusive, at most 366 days); optionally enter a Not (Note) and click Oluştur (Create).

Result
The delegation appears in the list with the status Başlamadı (Not started) or Geçerli (Valid). Within the date range, the delegate sees the approver's pending stages in Onayımı Bekleyenler (Awaiting My Approval) with the '… adına' (on behalf of …) note and votes on the approver's behalf.

What you need to know​

  • A second delegation cannot be created for the same approver on the same dates ("… için … bu tarihlerde zaten vekil." — … is already the delegate for … on these dates.).
  • A person casts a single vote in a stage: the delegate cannot cast two votes in the same stage, one on their own behalf and one on the approver's; if a vote was cast on the approver's behalf, the approver cannot vote separately in that stage either.
  • The approver or an administrator removes the delegation with Kaldır (Remove) in the row's Actions menu; votes already cast remain in the trail.
  • Reminders and "Onayınız bekleniyor" (Your approval is awaited) notifications are also sent to the delegate.
