# Add a fleet record

> Add an odometer reading, fuel purchase or expense record to one of our own vehicles.

  - The vehicle is in our own fleet (owned or leased) and active.

## Steps

1. On the **Lojistik Yönetimi › Filo › Filo İşletimi** (Logistics Management › Fleet › Fleet Operations) screen, click **Kayıt Ekle** (Add Record).

   1. Vehicle — own fleet
   2. Kind: Odometer, Fuel, Expense
   3. Liters — required for fuel
   4. Trip — optional

2. Select the **Araç** (Vehicle); the last odometer reading appears below it.

3. Select the **Tür** (Type): **Kilometre** (Odometer), **Yakıt** (Fuel) or **Masraf** (Expense); enter the **Tarih** (Date).

4. Fill in the fields for the type: for Kilometre (Odometer), **Kilometre** (Kilometers); for Yakıt (Fuel), **Litre** (Liters) (and optionally **Kilometre** (Kilometers), **Tutar** (Amount)); for Masraf (Expense), **Masraf türü** (Expense type) and **Tutar** (Amount).

5. If necessary, enter the **Sürücü** (Driver), **Sefer** (Shipment) and **Not** (Note), then click **Kaydet** (Save).

   1. Odometer, fuel or expense
   2. Liters and kilometers
   3. Linked trip and driver

**Result:** The record is included in the vehicle's operating cost and is reflected in the **Araç Maliyeti** (Vehicle Cost) and **Filo Kullanımı** (Fleet Utilization) reports.

## What you need to know

- A record cannot be changed; an incorrect record is deleted with **Sil** (Delete) in the row menu and entered again.
- The odometer cannot go backwards: a kilometer value smaller than an earlier reading is rejected by the server.
- For a "Diğer" (Other) expense, a description in **Not** (Note) is required.
- Records are not entered for a carrier's vehicle; the carrier's cost is the freight.
