# Email settings (SMTP)

CoreX ERP sends email from the installation's **own SMTP server**. Each installation enters its server on this
screen; the setting is stored in the database and does not ship with the software. "Bildirimler, parola sıfırlama
ve davet iletileri bu sunucudan gider. Sunucu alanını boş kaydetmek e-postayı kapatır." (Notifications, password
reset and invitation messages are sent from this server. Saving the server field empty turns email off.)

## Where email is used

The badge at the top shows the sending status (**Gönderim açık** (Sending on) / **Gönderim kapalı** (Sending off)),
and the sentence next to it states the source of the setting:

If there **is** a record on this screen, **it is authoritative**: a record with an empty server field turns email
off even if SMTP is in the configuration.

### Server fields

| Field | Value | Description |
|---|---|---|
| **Sunucu** (Server) | Host name, e.g. `smtp.sirketiniz.com`; at most 255 characters, no spaces | SMTP server. **Saving it empty turns email off** ("Kaydedildi — sunucu boş olduğu için e-posta kapalı." — Saved — email is off because the server is empty.). |
| **Bağlantı güvenliği** (Connection security) | **STARTTLS (genellikle 587)** (STARTTLS, usually 587) · **SSL/TLS (genellikle 465)** (SSL/TLS, usually 465) · **Şifresiz — yalnız iç ağ rölesi (genellikle 25)** (Unencrypted — internal relay only, usually 25) | Default STARTTLS. At the bottom of the panel: "Son değişiklik: tarih · kişi" (Last change: date · person) (or "Bu ekranda henüz kayıt
yok." — No record on this screen yet.) and **Kaydet** (Save). When leaving with unsaved changes, the system asks.

Save messages: "E-posta ayarları kaydedildi." (Email settings saved.), "Port 1 ile 65535 arasında olmalı." (Port
must be between 1 and 65535.), "Sunucu adı boşluk içeremez." (The server name cannot contain spaces.), "Gönderen
adresi geçerli bir e-posta olmalı (boşsa kullanıcı adı kullanılır)." (The sender address must be a valid email (if
empty, the user name is used).), "E-posta ayarları siz düzenlerken değişti. Sayfayı yenileyip yeniden kaydedin."
(The email settings changed while you were editing. Refresh the page and save again.)

### Password

The password is **not** sent with the form; it is saved separately, stored encrypted, and its value **never**
comes back to the screen. The row shows the saved status: "••••• kayıtlı · tarih · kişi" (••••• saved · date ·
person) or "Parola kayıtlı değil" (No password saved).

| **Parola gir** (Enter password) / **Parolayı değiştir** (Change password) | Opens the password field; **Parolayı kaydet** (Save password) (or Enter) saves it and clears the field ("Parola kaydedildi." — Password saved.), **Vazgeç** (Cancel) closes it. At most 256 characters. |
| **Parolayı kaldır** (Remove password) | Deletes the saved password ("Parola kaldırıldı." — Password removed.). |

The password is not accepted until the server setting is saved on this screen: "Önce sunucu ayarlarını kaydedin;
parola bu ekrandaki ayarla birlikte kullanılır." (Save the server settings first; the password is used together with
the setting on this screen.) If the saved password cannot be decrypted, the test says "Kayıtlı SMTP parolası
çözülemedi; parolayı yeniden girin." (The saved SMTP password could not be decrypted; re-enter the password.)

### Test send

"Kayıtlı ayarla bir deneme iletisi gönderir; sunucunun hatası olduğu gibi gösterilir." (Sends a test message with
the saved setting; the server's error is shown as is.) If the recipient box is empty, the test goes to the address
of the signed-in user. **Deneme e-postası gönder** (Send test email):

- Is disabled while there are unsaved changes — "denenen ayar görünen ayar olmalı" (the tested setting must be the
  displayed setting).
- Is disabled while sending is off ("Gönderim kapalı: önce sunucuyu kaydedin." — Sending is off: save the server
  first.).
- Does not go through the queue; it is sent immediately. On success: "Deneme iletisi … adresine gönderildi." (Test
  message sent to ….); on error, the server's response: "E-posta gönderilemedi: …" (Email could not be sent: …)
  (e.g. authentication rejected, connection timeout, certificate error).
- The message subject is "[CoreX ERP] Deneme e-postası" (CoreX ERP test email), and the body states the server and
  port.

## Send Queue {#gonderim-kuyrugu}

**Yönetim › İzleme › Gönderim Kuyruğu** (Administration › Monitoring › Send Queue) — the screen for the question
"didn't something that should have been sent go out?". "Arka planda gönderilen e-postalar; gönderim hatası işi geri
almaz, mesaj yeniden denenir. Deneme hakkı bitmiş ya da kalıcı hatalı mesaj "gönderilemedi" olarak burada bekler."
(Emails sent in the background; a sending error does not roll back the transaction, the message is retried. A
message that has used up its attempts or has a permanent error waits here as "gönderilemedi" (could not be sent).)

**Son 24 saatte gönderilen** (Sent in the last 24 hours). **Durum** (Status) filter: **Açık (bekleyen +
gönderilemeyen)** (Open (pending + not sent); default), **Gönderilemedi** (Could not be sent), **Bekliyor**
(Pending), **Gönderildi** (Sent).

When a notification email fails, it is retried at increasing intervals: 30 s → 2 min → 10 min → 30 min → 2 h → 6 h
→ 12 h → 24 h; when the attempts (default 8) are used up or the error is permanent, it becomes **Gönderilemedi**
(Could not be sent). If SMTP is defined later, pending messages are sent on the next attempt; messages that could
not be sent return to the queue with **Yeniden dene** (Retry). Only a message that could not be sent can be retried
("Yalnız gönderilemeyen mesaj yeniden denenebilir." — Only a message that could not be sent can be retried.).

## Troubleshooting

Is the message **Bekliyor** (Pending) / **Gönderilemedi** (Could not be sent) in the Send Queue, and what does **Son hata** (Last error) say? |
| Test returns "E-posta gönderilemedi: …" (Email could not be sent: …) | Are the server name, port and **Bağlantı güvenliği** (Connection security) the same as the provider's values (587 ↔ STARTTLS, 465 ↔ SSL/TLS)? Are the user name and password correct; does the provider require an app password? |
| The "From" sender is wrong at the recipient | **Gönderen adresi** (Sender address) and **Gönderen adı** (Sender name); the provider may allow sending only from the authenticated address. |
